Finalizing the First Welcome: The International Office of UIN Siber Syekh Nurjati Cirebon Completes Comprehensive Preparations for the 2025 International Student Orientation Under the Syekh Nurjati Global Excellence Scholarship
Cirebon, September 10, 2025 – The International Office of UIN Siber Syekh Nurjati Cirebon completed its final preparations for the 2025 International Student Orientation, marking the culmination of weeks of meticulous planning. The event, set to begin the following day, will welcome a new cohort of international students under the Syekh Nurjati Global Excellence Scholarship (SN-GES) from countries including Thailand, the Philippines, Nigeria, and Yemen. The preparation activities were conducted across two locations: the main simulation took place at the Auditorium on the 8th floor of the New Siber Building, while coordination, briefings, and final alignments were held at the International Office on the 5th floor. This dual-site approach ensured that both the technical execution and operational flow were thoroughly tested in their actual environments. Under the leadership of Lala Bumela Sudimantara, Ph.D., Director of the International Office, the Global Engagement Team—comprising student interns—demonstrated full readiness to execute the event with professionalism and care.
The student teams were assigned to key roles such as logistics, technical support, Master of Ceremonies (MCs), and Liaison Officers (LOs). At the auditorium, the logistics team rehearsed the full sequence of the event, from student arrival and registration to seating and session transitions. The technical team confirmed the functionality of the sound system, microphones, projectors, and online streaming platform to ensure seamless delivery. Special attention was given to stage presence, lighting, and real-time translation to create an inclusive and welcoming atmosphere. The MCs, all student interns, delivered their scripts in both Indonesian and English with clarity and cultural sensitivity. This hands-on experience reflects the office’s commitment to developing students’ competencies in event management and cross-cultural communication.
A central focus of the preparation was the role of the Liaison Officers (LOs), who will be paired with incoming international students to provide personal guidance and support throughout the orientation. These student LOs were trained to assist with registration, answer questions, and ensure that every scholar feels welcomed and comfortable from the moment they arrive on campus. Simulations of potential challenges—such as late arrivals, language barriers, or technical issues—were conducted to enhance the team’s preparedness and adaptability. The team emphasized empathy, responsiveness, and teamwork as essential qualities in delivering a high-quality experience. The goal is to make the orientation not just an administrative process but a meaningful first encounter with the university community.
The full program was rehearsed in sequence, including official speeches from university leaders, cultural introductions, and academic briefings. Each segment was timed and evaluated to ensure smooth transitions and audience engagement. The emcees practiced delivering their lines with confidence, while the technical team monitored audio and visual cues to prevent disruptions. The final group photo session was also simulated to ensure coordination and full participation. The program is designed to balance academic information with cultural warmth, showcasing both the university’s institutional strengths and its local Sundanese identity. This balance is intended to help international students feel informed, respected, and connected.
Safety, and accessibility protocols were thoroughly reviewed during the session. Emergency procedures, first-aid readiness, and venue accessibility were confirmed to ensure a secure and inclusive environment for all participants. The team discussed how to respond to medical needs in coordination with the university’s health services and insurance protocols. Clear communication channels were established between the auditorium and the International Office command center. The team also finalized the distribution of welcome kits, which include essential information, local cultural items, and practical resources for new students. These efforts reflect a comprehensive approach to student support from the very first day.
Lala Bumela Sudimantara, Ph.D. expressed his full confidence in the student team, emphasizing that the orientation is a mission to create a sense of belonging for every international student. He highlighted that the event is not merely an administrative task but a foundational experience that shapes students’ perception of the university. The student interns have been mentored to take ownership of their roles, turning the orientation into a professional learning opportunity.
